Print infrastructure is usually an afterthought in office IT. A cheap printer goes on each desk and, at first, nothing seems wrong. A few months in, every device needs its own cartridge type, nobody knows which printer is working, confidential documents print without any control, and the IT team spends its time swapping toner. Why scattered printers cost more

The expense is not in the device itself — it is in the hidden cost of running it. An unmanaged print environment has three main cost sources:

• Security gap: a printer that is on the network but unmanaged is an open door. Anyone prints anything, pages sit in the output tray, and there is no record of who printed what.

Instead of a printer per desk, devices sized to the actual workflow. A heavier network printer for high-volume departments, a shared device for areas that print little. This cuts both the device count and the number of consumable types you have to stock.

Integration into the network and domain

A network printer is more than plugging in a cable. The device joins the domain, print queues are managed from a central server, and user permissions are assigned. When a new employee joins, there is no manual driver install.
